Start with the three facts PSLF measures
Public Service Loan Forgiveness is not based on job title alone. The official review considers the employer, the federal loan type, and qualifying monthly payments made while the employment requirement was met. A dashboard estimate is useful, but your own records make it possible to identify and explain a mismatch.
1. Verify every employer period
Use the official PSLF Employer Search and the PSLF Help Tool. Search with the employer's EIN from a W-2 rather than relying only on its public name. Keep the W-2, the signed PSLF form, proof of submission, and the response for each period. If an employer changed names, payroll companies, or EINs, record which entity actually employed you.
2. Inventory each federal loan
Log in to StudentAid.gov and list every loan separately. Record its type, disbursement date, current servicer, repayment status, and PSLF count. PSLF generally concerns Direct Loans. Do not consolidate merely because a third party says it is required: first compare the effect on each loan and its existing count using the current official guidance.
3. Reconcile the count month by month
Compare the count shown by Federal Student Aid with your employment dates, repayment history, deferment or forbearance periods, and prior PSLF correspondence. Mark the exact months that appear missing. A precise list is more useful than a general statement that the total looks wrong.
4. Correct evidence before changing strategy
If an employment period is missing, determine whether the form was never submitted, rejected, or matched to the wrong employer record. If payments are missing, preserve billing statements, payment confirmations, servicer messages, and any transfer notices. Use the official reconsideration or complaint path that applies to the problem and keep the confirmation number.
A safe working file
Maintain one folder containing your StudentAid.gov loan inventory, employer forms, W-2s, payment history, servicer correspondence, and a dated count spreadsheet. Review it before changing employers, repayment plans, or loan structure.
